This Privacy Policy explains how Clearflow Group Inc. ("Clearflow", "we", "us") collects, uses, discloses and protects personal information through our website, https://www.clearflowgroup.com(the "Site"), and when you contact us.
We are a Canadian company. We handle personal information in line with the Personal Information Protection and Electronic Documents Act (PIPEDA) and other privacy laws that apply to us.
1. Who is responsible (accountability)

2. What we collect
Information you give us. When you fill out a form on the Site (for example a contact, quote, sample-test, water-test/assessment, distributor or intro request), we collect what you enter. Depending on the form, that can be your name, email address, phone number, company, job title, location or region, project details, and your message.
When you email or call us. If you email us, call us, or message us (for example through WhatsApp), we receive your contact details and whatever you send us.
Technical assistant.If you use the Atlas technical assistant on the Site, we collect the text you type. Please don't enter sensitive personal information.
Collected automatically.When you visit the Site, we and our service providers collect technical information such as your IP address, browser and device type, pages viewed, referring site, approximate location (derived from your IP address), and the date and time of your visit. This happens through cookies and similar technologies (see section 5) and through our hosting provider's server logs.
We do not knowingly collect personal information from children.
3. How we use it
We use personal information to:
- answer your questions and send you the product, sample, quote or project information you ask for;
- connect you with the right Clearflow team or distributor for your region;
- run, secure, maintain and improve the Site, and understand how visitors use it (analytics);
- keep business records and meet our legal obligations.
We only use personal information for the purposes we identify here or at the time we collect it, unless you agree to another use or the law requires or permits it.
4. Consent
By submitting a form or contacting us, you consent to our collecting and using your information for the purpose of that request. You can withdraw consent at any time, subject to legal or contractual limits and reasonable notice, by contacting our Privacy Officer. If you withdraw consent, we may not be able to answer your request.
5. Cookies and analytics
The Site uses cookies and similar technologies:
- Essential/functional cookies, for example a cookie that remembers your region so we can show you the right phone number (
cf_geo_phone, expires after 7 days). - Analytics. We use Google Analytics 4to understand how visitors use the Site. Google Analytics sets cookies and collects online identifiers and usage data such as pages visited, device and browser information, and approximate location. Google's privacy policy is at https://policies.google.com/privacy. You can opt out of Google Analytics with Google's browser add-on at https://tools.google.com/dlpage/gaoptout.
You can also block or delete cookies in your browser settings. Some parts of the Site may not work properly if you do.
We do not currently use advertising or remarketing pixels on the Site.
6. Who we share it with
We do not sell personal information. We share it only as described here:
- Service providers that help us operate the Site and our business, for example hosting, content management, form handling, email, and website analytics.
- We may share information with distributors or service providers as needed to respond to your inquiry.
- Legal and business reasons: if the law requires it, to protect our rights or safety, or as part of a merger, sale or reorganization of our business.
We require our service providers to protect personal information and use it only to provide their services to us.
7. Where your information is stored
Some of our service providers store or process information outside Canada, including in the United States and possibly in other countries. When your information is outside Canada, the laws of that country apply to it, and courts, law enforcement or national security authorities there may be able to access it.
8. How long we keep it
We keep personal information only as long as needed for the purposes described or as required by law. After that, we delete it or make it anonymous.
9. How we protect it
We use reasonable administrative, technical and physical safeguards appropriate to the sensitivity of the information, including encrypted (HTTPS) connections to the Site and limiting access to staff and providers who need it. No method of transmission or storage is completely secure, so we can't guarantee absolute security.
If a breach of security safeguards involving personal information creates a real risk of significant harm, we will notify affected people and the Office of the Privacy Commissioner of Canada, as PIPEDA requires.
10. Your rights
You can ask us to:
- tell you whether we hold personal information about you, what it is, how we've used it, and who we've shared it with;
- correct information that is inaccurate or incomplete;
- withdraw consent, or stop sending you marketing messages.
To make a request, contact our Privacy Officer at systems@clearflowgroup.com. We may need to verify your identity. We will respond within 30 days, or within the time the law allows. You may have additional rights depending on where you live.
If you're not satisfied with our response, you may complain to the Office of the Privacy Commissioner of Canada (https://www.priv.gc.ca) or a provincial commissioner.
11. External links and social media
The Site links to other websites and platforms (for example LinkedIn, Instagram, WhatsApp, distributor websites, and documents hosted by third parties). We're not responsible for their content or privacy practices. Please read their privacy policies. When you interact with us on social media, that platform's terms and privacy policy apply. We will never ask for sensitive personal information through social media. Please contact us by phone or email instead.
12. Changes to this policy
We may update this policy from time to time. We'll post the updated version on this page and change the "Last updated" date. If we make significant changes, we may provide additional notice.
